Terms and Conditions of Service

ACCEPTANCE OF TERMS
By scheduling, booking, or accepting any services from Sunshine Cleaning Systems ("Company," "we," "us," or "our"), you ("Client," "Customer," "you," or "your") agree to be bound by these Terms and Conditions. These terms constitute a legally binding agreement between you and Sunshine Cleaning Systems.
IF YOU DO NOT AGREE TO THESE TERMS, DO NOT USE OUR SERVICES.
SERVICES PROVIDED
Our Services Include:
- Professional carpet cleaning using hot water extraction, low moisture, and dry compound methods
- Upholstery cleaning for furniture and fabric surfaces
- Area rug cleaning (on-site )
- Tile and grout cleaning, sealing and restoration
- Vinyl and resilient floor cleaning and maintenance
- Mattress cleaning and sanitization
- Hard water deposit removal from acid-sensitive surfaces
- Emergency water damage restoration services
Service Standards:
All services are performed by IICRC-certified professionals using industry-standard methods and eco-friendly products safe for families and pets.
SCHEDULING AND APPOINTMENTS
Appointment Booking
- All work is scheduled by appointment only
- Appointments must be confirmed 12-48 hours prior to service date
- A responsible adult (18+ years) must be present during service
- Service area must be accessible and prepared as instructed
Required Deposits
Effective January 1, 2020, non-refundable deposits are required:
- Residential Services: $150.00
- Commercial Services: $200.00
Deposits must be paid via credit/debit card at www.letthesunshinein.net prior to scheduling confirmation.
Appointment Confirmation
- We will contact you 12-48 hours before your appointment via phone, email, or text
- Failure to confirm your appointment will result in automatic cancellation and forfeiture of deposit
- Check all communication channels including spam/junk folders
CANCELLATION AND RESCHEDULING POLICIES
Cancellation Policy
- Cancellations result in forfeiture of deposit to cover administrative costs and lost business opportunities
- Once scheduled, your appointment time is exclusively reserved for you
- Cancellations create significant financial burden on our small business
Rescheduling Policy
- Minimum 7 days notice required (including weekends and holidays)
- $50.00 administrative fee added to final invoice for all rescheduling
- True emergencies may qualify for deposit transfer to future services (at our discretion)
- Contact (339) 222-8792 to reschedule
Company-Initiated Changes
- If we must reschedule due to weather, equipment failure, or emergencies, we will contact you immediately
- No fees apply to company-initiated rescheduling
- If you decline our rescheduling offer, deposits will not be refunded
NO-SHOW AND ACCESS POLICIES
No-Show Situations (Deposit Forfeited):
- No one present when technician arrives
- Unable to gain property access
- No adult (18+) available to authorize service
- Lack of power or clean running water
- Unsafe conditions (icy walkways, etc.)
- Incomplete construction/contractor work preventing service
- Keys don't work or aren't where specified
Property Access Requirements
- Customer must provide safe, clear access to service areas
- Winter months: walkways and stairs must be clear of ice/snow
- Parking must be arranged for our service vehicle (9'6" clearance required)
- If key access is provided, keys must work without special effort
- 10-minute maximum wait time before no-show determination
Lock-Out Fees
- $100.00 lock-out fee if we arrive and cannot access premises for any reason
- $150.00 access failure fee for faulty keys or access issues
- Additional charges apply if access delays exceed 10 minutes
PAYMENT TERMS AND POLICIES
Payment Due
Payment is due in full upon completion of services unless alternative arrangements are pre-approved in writing.
Accepted Payment Methods
- Cash - Paid directly to technician upon completion
- Check - Made payable to "Sunshine Cleaning Systems"
- Credit/Debit Card - Via our secure online portal at www.letthesunshinein.net
Late Payment and Fees
- 12% annual interest charged on all overdue amounts
- $60.00 late payment fee for payments not received upon service completion
- $100.00 NSF fee plus $60.00 late fee for returned checks
- We reserve all rights under Massachusetts law for the collection of overdue amounts
Automatic Payment Authorization
By providing credit/debit card information, you authorize Sunshine Cleaning Systems to charge your card for:
- Required deposits
- Service payments if cash/check not received upon completion
- Any applicable fees or charges outlined in these terms
CUSTOMER RESPONSIBILITIES
Pre-Service Preparation
- Remove all valuable items from service areas (cash, jewelry, art, antiques, sentimental items)
- Secure or remove fragile and breakable items
- Ensure pets are secured away from work areas
- Clear pathways and provide adequate lighting
- Arrange parking for service vehicle
Material Disclosure
You must inform us of:
- Previous cleaning attempts or products used
- Known allergies or sensitivities
- Special care requirements for fabrics or surfaces
- Any areas of concern or pre-existing damage
- Presence of asbestos, mold, or other hazardous materials
Property Condition Requirements
- Clean running water and electricity must be available
- Safe working conditions must be maintained
- Areas must be accessible without risk to technicians
- Building/renovation work must be completed before service
PRICING AND ESTIMATES
Estimate Accuracy
- Initial pricing is estimated based on information you provide
- Final pricing determined upon on-site inspection and may differ from estimates
- Pricing subject to adjustment for:
- Different dimensions than described
- Undisclosed stains or conditions
- Presence of hazardous materials
- Additional treatments required
- Access difficulties
Additional Services and Costs
Client agrees to pay for additional services if we discover:
- Hazardous materials (asbestos, mold)
- Excessive soil or contamination
- Need for multiple cleaning sessions
- Specialized treatment requirements
- These costs are separate from initial estimates
Right to Decline Service
We reserve the right to discontinue service if:
- Materials are unsuitable for cleaning
- Unsafe working conditions exist
- Hazardous materials are present
- Client interference prevents proper completion
- Payment disputes arise
LIABILITY AND WARRANTY LIMITATIONS
Our Warranty
We warrant that services will be performed professionally according to IICRC industry standards. If you're not satisfied:
- Report issues within 5 days for spots, odors, or cleaning concerns
- Report moisture issues within 24 hours
- The customer must be present during any warranty re-cleaning
- One warranty service per customer per job
Liability Exclusions
WE ARE NOT RESPONSIBLE FOR:
- Pre-existing damage, stains, burns, or spillages that cannot be removed using industry-standard methods
- Damage from furniture placement on incompletely dried surfaces
- Color loss, shrinkage, or texture changes in old or fragile fabrics
- Equipment that voids manufacturer warranties
- Items with sentimental value (replacement at cash value only)
- Damage from client negligence or actions
- Third-party actions or presence during service
- Viscose/Art Silk rug damage due to material characteristics
Limitation of Damages
Our total liability is limited to the amount paid for services. We provide no warranties of merchantability or fitness for particular purpose. We do not guarantee error-free service or resolution of all cleaning issues.
SPECIAL MATERIAL WARNINGS
Viscose/Art Silk Rugs
These materials are extremely difficult to clean. By accepting service, you acknowledge these risks:
- Yellowing/browning often occurs when wet
- Colors may fade during cleaning
- Shedding and pulling may increase
- Texture may stiffen after cleaning
- We cannot replace or be held liable for damage to these materials
Manufacturer Warranty Compliance
We follow manufacturer specifications to maintain carpet and upholstery warranties. However, we are not responsible for warranty claims or coverage decisions made by manufacturers.
INDEMNIFICATION AND HOLD HARMLESS
You agree to indemnify and hold Sunshine Cleaning Systems harmless from any claims, damages, or losses arising from:
- Your negligence or actions
- Conditions of your premises
- Third parties present during service
- Undisclosed hazardous materials
- Failure to follow care instructions
- Property damage from early furniture replacement on wet surfaces
FORCE MAJEURE
We are not liable for service delays or cancellations due to:
- Severe weather conditions
- Natural disasters
- Equipment mechanical failures
- Road closures or travel restrictions
- Government orders or restrictions
- Other circumstances beyond our reasonable control
PRIVACY AND DATA PROTECTION
Information Collection
We collect only information necessary to provide services:
- Contact information for scheduling and billing
- Property access details for service delivery
- Payment information for transaction processing
Information Use
Your information is used solely for:
- Service delivery and customer communication
- Payment processing and business records
- Legal compliance and business protection
Information Sharing
We do not sell, trade, or share your personal information with third parties except:
- As required by law
- For payment processing
- To protect our legal rights
- With your explicit consent
DISPUTE RESOLUTION
Governing Law
These terms are governed by Massachusetts state law. Any disputes will be resolved in Massachusetts courts.
Good Faith Resolution
Before pursuing legal action, both parties agree to attempt good faith resolution through direct communication.
Limitation of Actions
Any claims against Sunshine Cleaning Systems must be brought within one (1) year of the service date or issue discovery.
MODIFICATIONS AND UPDATES
Changes to Terms
We reserve the right to modify these terms at any time. Updated terms will be posted at www.letthesunshinein.net with revision dates clearly marked.
Notification of Changes
Significant changes will be communicated via email or phone to existing customers when possible.
Continued Use
Continued use of our services after term modifications constitutes acceptance of updated terms.
SEVERABILITY
If any provision of these terms is found invalid or unenforceable, the remaining provisions will continue in full force and effect.
ENTIRE AGREEMENT
These terms constitute the complete agreement between you and Sunshine Cleaning Systems, superseding all previous agreements, representations, or understandings regarding our services.

By scheduling or accepting our services, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
